    What the numbers are saying

    Revenue opportunity

    Revenue opportunity

Filling the gaps in your existing schedule would add about $7,166 per month — roughly $85,992 a year — without raising a single price.

    Scheduling

    Where the gaps are

Your quietest stretch is the afternoon. Around 46% of those slots go unbooked, which is where most of your unused capacity sits.

    Pricing

    Price vs. volume

Raising prices 5% adds about $803/month. Booking one extra appointment per day adds $1,029/month — filling the schedule is worth more than a price rise right now.

    Capacity

    Capacity check

At 45 minutes per service you can run 24 appointments a day. You are currently leaving about 218 slots unsold every month.

    Risk alert

    No-show exposure

A 12% no-show rate costs you the equivalent of 49 appointments — about $2,190 — every month. Reminder emails typically recover a large share of these.

    Growth

    Growth headroom

Reaching 88% utilisation would take you to $23,228/month before you need extra staff, extra hours or a bigger space.

    Practical guide

    How to read these numbers

Utilisation is the number that moves everything

Most appointment businesses run between 55% and 75% effective utilisation. Every point you add flows almost entirely to profit, because your rent, staff and equipment costs are already paid for. That is why filling gaps usually beats raising prices, at least until you are consistently above 85%.

    What the levers are worth

    1/day

One extra appointment per day is typically worth more than a 5% price rise

    88%

A realistic utilisation ceiling once travel, cleaning and admin gaps are counted

    150%

Reminder emails commonly cut no-show rates by a third or more

    Fixes that cost nothing

    • Let clients book online outside your opening hours — most bookings happen in the evening.
    • Send a confirmation immediately and a reminder before the appointment.
    • Use real service durations instead of rounding everything to an hour.
    • Offer a shorter service that fits the awkward 20-minute gaps between longer ones.
    • Make rescheduling self-service so a cancellation becomes an open slot again.

What to do with the result

    1. 01

      Start with the biggest leak

Compare empty-slot loss with no-show loss. Whichever is larger is where your first hour of effort belongs.

    2. 02

      Set one target

Pick a utilisation number you believe in and use the goal slider to see the revenue it implies.

    3. 03

      Re-run it in a month

The calculator is deterministic, so the same inputs always produce the same answer. That makes it a fair before-and-after.

    FAQ

    Questions about this tool

    How is monthly capacity calculated?+

Open hours per day are divided by your average service duration to get slots per station per day. That is multiplied by your number of stations, your open days per week, and 4.33 weeks per month.

What counts as a good utilisation rate?+

Most appointment businesses run between 55% and 75%. Above 85% is considered effectively full once you allow for cleaning, admin and unavoidable gaps between bookings.

Why does the calculator separate empty slots from no-shows?+

They have different fixes. Empty slots are a visibility and convenience problem solved by online booking. No-shows are a memory and commitment problem solved by reminders and self-service rescheduling.

    Is my data sent anywhere?+

No. Every calculation runs in your browser. Nothing is stored, submitted or tracked, and you do not need an account to use the tool.

Can I use this for a mobile or single-person business?+

Yes. Set stations to 1 and enter the hours you actually take appointments. The maths is identical.
