Dog Grooming Appointment Software: A Practical Buyer's Guide

How to pick grooming software when your day is doodles, matting and drop offs. What GroomSoft, MoeGo, Gingr and ZenSched are each built for, and what to set up first.

    The ZenSched Team··8 min read

A groomer in Ohio told us her worst day of the year was a Tuesday. Nothing dramatic happened. She just had four full grooms booked as if they were all the same length, one of them a matted goldendoodle, and by two o'clock she was ninety minutes behind with a lobby full of owners.

Looking for the product rather than the buyer guide? Here is ZenSched dog grooming appointment software.

No software would have saved that day. The right setup would have prevented it a month earlier, when those four services were created.

That is what this guide is about. Not which grooming app has the longest feature list, but which one fits your shape of business, and what to set up in it on day one.

First, decide what business you actually run

Your businessThe real jobWhere to look
Solo groomer or mobile vanA clean booking link, honest times, reminders.ZenSched, MoeGo
Grooming salon, 2 to 8 tablesPer groomer calendars, one owner view.ZenSched, GroomSoft, MoeGo
Grooming plus boarding or daycareKennel runs, feeding, vaccine expiry.Gingr, Pawfinity, 123Pet
High volume with retailPOS, inventory, packages.Full pet suite

The line that matters is boarding. The moment you have runs to fill, feeding schedules to track and vaccine expiry dates to enforce, you need a facility tool and a general booking app will frustrate you. If you only groom, a facility tool is a lot of interface to walk past every morning.

Services and durations do the heavy lifting

Almost every scheduling disaster in grooming traces back to one generic service called "Full Groom" with a flat duration.

Break it up. The exact split depends on your shop, but a workable pattern:

    • Full groom, small breed. Your real average, usually 60 to 90 minutes.
    • Full groom, medium or double coat. Usually 90 to 120 minutes.
    • Full groom, large or high maintenance coat. Two hours and up.
    • Bath and tidy, and puppy first visit, as their own shorter services.
    • Nails, teeth and de shed as add ons with their own time.
    • A buffer after every groom for the table, the tub and the notes.

Then let the booking page ask. Breed, approximate weight, coat condition and when the dog was last groomed will tell you more than any pricing tier. Matting is the variable that ruins schedules, and one honest question about it at booking is worth an hour of recovery later.

My day stopped running late. I did not change how fast I groom. I changed what the calendar promised.

    Intake questions worth asking

Keep the list short enough that owners finish it. These five earn their place:

    1. Breed and approximate weight.
    2. Coat condition, with matting called out explicitly.
    3. Date of last groom.
    4. Vaccine status.
    5. Anything we should know (anxiety, bite history, senior, medication).

Required or optional is your call, but make the temperament question required if you handle dogs alone. It is a safety field, not an admin field.

    Regulars are the whole business

Grooming has a rhythm most trades would envy. A dog on a six week cycle is nine appointments a year, booked in advance, entirely predictable. The tools that help most are the ones that make that rhythm stick.

Set recurring bookings for your regulars rather than chasing rebooks by text. When a client is standing at the counter paying, that is the moment to lock the next three. Any tool that makes that awkward is costing you real money every week.

    No shows and late cancels

A missed two hour full groom is not a small hole. What actually helps:

    • A reminder the day before, not the morning of, so you have time to fill the slot from a call list.
    • A visible cancel and reschedule link, because a Tuesday cancellation for a Thursday slot is recoverable.
    • A short written policy in the confirmation email.
    • Recurring series for regulars so the calendar has a spine.

    Mobile groomers

Vans have a scheduling problem that salons do not: travel is unpaid time that still needs to exist on the calendar.

Two approaches work. Either add travel into each service duration so a 90 minute groom occupies 120, or use a generous buffer and keep it consistent. Then restrict which days you serve which areas by setting hours and blocking the rest. It is manual, and it is still better than a routing feature that guesses your traffic.

Running a shop and a van at once is cleanest when they are separate locations, each with their own hours, services and booking link, managed from a single login.

What ZenSched does and does not do here

ZenSched handles the grooming calendar: custom intake fields for breed, coat, vaccines and temperament, real durations and buffers per service, per groomer calendars, recurring cycles for regulars, confirmation and reminder emails on a queue, and customer records that build themselves with visit counts and notes.

It does not do kennel management, boarding runs, feeding schedules, vaccine expiry alerts, retail inventory or payments. That is a deliberate line. If those are your daily job, a facility suite is the correct purchase and we would rather say that here than after you have moved your client list.

For the grooming specific detail, the pet grooming booking software page covers intake fields and multi location setups. If you are on a grooming suite today, ZenSched vs GroomSoft is the honest side by side, and the wider market survey is in the pet grooming software guide.

    Frequently asked questions

    FAQ

What software do dog groomers use?+

The common names are GroomSoft, MoeGo, Gingr, Pawfinity and 123Pet, plus general booking tools like ZenSched. Grooming specific suites add kennel, boarding and vaccine tracking. General booking tools add speed and a cleaner client experience. Which is right depends on whether your business is a grooming calendar or a facility.

Is there free dog grooming appointment software?+

Most grooming specific suites are paid, usually with a free trial. ZenSched has a Free Beta plan covering a full booking page, unlimited appointments and email reminders with no card required. If you need kennel management, boarding runs and vaccine expiry tracking, expect to pay for a specialist tool.

How do I handle breeds that take longer to groom?+

Set separate services with real durations rather than one generic full groom. A doodle full groom is not a shih tzu tidy. Then ask breed, weight and coat on the booking page so the appointment lands with the right block of time and no surprises at drop off.

Can clients book a recurring grooming appointment?+

Yes in most tools, including ZenSched, which supports weekly, biweekly or monthly recurring series linked back to a parent appointment. Six to eight week cycles are the norm for regulars and locking them in beats chasing rebooks.

Do I need software that tracks vaccine records?+

If you board or run daycare, yes, and that points you at a facility tool like Gingr. If you only groom, a required custom question on the booking page asking for vaccine status covers most of it, with the paperwork checked at drop off.

How do mobile groomers handle scheduling and travel time?+

Build travel into the service duration or the buffer, and keep bookable windows tight around the areas you serve on a given day. No mainstream booking tool routes a van properly, so most mobile groomers combine a booking tool with day by day area blocking.
